How to brief a business interpreter day in China
Updated 2026-10-23
A business or meeting day needs a different brief from a sightseeing day. Guests often write “need English” and leave the language pair, the room, and the must-arrive time blank. A coordinator then has to guess, or bounce questions before a quote.
This note is a brief guide, not a package page. It shows what to put in the first WhatsApp message so we can match an interpreter — and a private car if needed — for a mainland China meeting day. No prices, named interpreters, or fixed package names appear here. Send the city, dates, party size, language pair, and the service. A coordinator replies with a plan and a quote.
Role split: choose a guide or interpreter. Service start: interpreter.
Interpreter day vs sightseeing guide
A tour guide explains a place: palace, museum, park, market, old town. Pace and what you are looking at are the job.
An interpreter carries a conversation while something else is happening: a supplier talk, a factory walk-through, an exhibition booth, an office meeting, a school or hospital appointment. The interpreter follows the speakers. They are not there to deliver a skyline script.
Do not book a sightseeing guide and hope the negotiation takes care of itself. If the same day mixes a museum morning and a contract afternoon, say both blocks. We would rather propose two people, or two clear hours, than leave you with the wrong skill in the room. Guide vs interpreter detail: choose a guide or interpreter.
Fields that change the match
Copy the fields that apply. Short lines are fine.
- City: a mainland city, for example Shanghai or Beijing.
- Date: the meeting day, plus arrival or departure if they sit next to it.
- Start–end: the must-arrive hour, and how long the session is likely to run.
- Language pair: for example English and Mandarin, or Japanese and Mandarin. The website language is not the working language.
- Meeting type: supplier, factory, fair or exhibition, office, school or hospital, or other, in plain words.
- District or area: the neighborhood or zone for the venue. A full street address can wait until after the first reply if you prefer.
- Mode: consecutive interpreting is the usual request. Say if you need something else.
- Car: yes, no, or advice — hotel or airport to the venue and back.
- Party size: how many people need the interpreter with them.
- Topic note: technical, medical, or sensitive, in plain words only, not attachments.
General brief shape: brief a guide on WhatsApp. Car fields if you want a driver the same day: book a private car in China.
Fair, factory, office, and school or hospital
Fair or exhibition. Name the city, the fair day or days, the booth or hall area if known, and whether the interpreter stays at one stand or walks the floor with you. Peak fair weeks fill early. Send dates soon.
Factory or supplier visit. District or industrial zone, must-arrive time at the gate, and roughly how long the walk-through and talk run. Say if protective equipment, badges, or a plant escort is already on your side.
Office meeting. District or business area, start time, expected end, and whether the interpreter is only in the room or also for lunch and lobby talk.
School or hospital. Appointment time and campus or hospital area. We are not a clinic and do not give medical advice. Interpreting is spoken help in the room, not certified translation of records.
English and Mandarin are the common pair. Other languages are a question until someone is free in that city on those dates. Start a brief: interpreter in Shanghai or interpreter in Beijing.
What to leave out of the first message
Do not paste these into the first WhatsApp message:
- Full contracts or term sheets.
- Medical records or lab reports.
- Passport or ID scans.
- Long email threads or internal decks.
A district or venue area, the language pair, and the must-arrive time are enough to start. Sensitive documents belong later, only if needed, and only through a channel you and the coordinator agree on — not as an unsolicited dump in the opening line.
Also skip named “must have this person” requests unless you already worked with someone through us. We match who is free for the language pair and the day. We do not publish a wall of personal profiles.
Sample WhatsApp brief
Rewrite freely; keep the fields.
Hello China On Call — business interpreter day brief. City: Shanghai Date: 2026-11-18 Start–end: arrive 09:30; meeting likely until ~15:00 Language pair: English and Mandarin Meeting type: supplier / factory visit District: Songjiang (factory gate — exact address after you confirm) Mode: consecutive Car: yes — hotel (Jing'an) → factory → hotel Party size: 2 (I + colleague) Topic note: packaging materials; no medical docs Notes: no sightseeing same day
That is enough to start. You do not need a polished agenda paragraph.
What you get back
A coordinator replies in the same WhatsApp thread with a plan shape and a quote — whether consecutive fits, whether a car should sit with the day, and rough timing. Nothing is confirmed until you agree. We confirm someone only when a person with that language pair is free for those dates in that city.
The site does not show a “from” price, a catalogue of named interpreters, or fixed meeting packages. Hours, city, language pair, setting, and whether a car is included change the quote. Prefer WeChat on some phones — the same fields apply.
City context if useful: Shanghai guides, Beijing guides.
Questions
Is an interpreter the same as a tour guide?
No. A guide explains a place. An interpreter carries a conversation. Tell us which hours are which — especially if the day mixes both.
Do you only do consecutive interpreting?
Consecutive is the usual request. If you need something else, say so in the brief. We will say what we can match.
Can one person cover a museum morning and a negotiation afternoon?
Sometimes, for a light day. Do not assume it. Say both blocks. We may propose two people or two clear segments.
Should I send the full contract in the first message?
No. District, language pair, start time, and meeting type are enough to start. Leave contracts, medical files, and passport scans out of the opening WhatsApp.
Can you cover a hospital or school appointment?
Often, if we say so after the brief. Send the appointment time, language pair, and area. We are not a clinic and we do not give medical advice.

On WhatsApp, send city, dates, party size, language pair, and service (interpreter, and car yes or no), plus meeting type, district or area, start and end, and consecutive if that is the ask. A coordinator replies in the same chat with a plan and a quote. Prefer WeChat on some phones — the same fields apply. Do not attach contracts, medical files, or passport scans in the first message.
